Position Objective
This position serves as a direct customer touch point and provides friendly and professional greeting assistance to all customers and visitors of the office. This position also performs a wide variety of office support activities, including but not limited to, visitor access control, various other safety and security related functions, pool car maintenance and support, accounts payable processing, vendor point of contact, and back up support to the other facility support functions.


Primary Accountabilities
- Receptionist (40%)
- Pro-actively greets customers, sales staff and visitors of the office in a friendly and professional manner and connects them to the proper party.
- Greets board members or other dignitaries and directs them to the appropriate person or location.
- Keeps the lobby area neat and in order.
- Accepts and signs for legal documents delivered to the company and contacts appropriate party or department to disseminate that information.
- With direction from claims staff, distributes claim payments to designated person(s) and verifies proper identification.
- Signs for mail, UPS, packages, supplies and computer equipment. Accepts flowers or other related deliveries and contact the appropriate recipient.
- Coordinates Bloodmobile and other similar events

- General Facilities Support Services (40%)
- Schedules and tracks company pool vehicles assigned to the facility on a daily basis to determine their location and user. Responsible for the proper completion of vehicles use logs.
- Schedules cleaning and general maintenance of pool vehicles.
- Conducts periodic audits of regional pool vehicles to assure proper maintenance is performed.
- Provides data entry and document processing support related to department performance metrics, records management, or other record keeping functions.
- Provides back up support to the mail operation in sorting and posting mail and in handling unidentified mail and other back up support functions within the Facilities & Support department.
- Served as point of contact for copy machine service vendors, as well as other vendors that support the office.
- Accepts and codes invoices to the proper cost center for invoices pertaining to the office support functions.
- Provides training and assistance to other offices or personnel as needed for general facility and business support functions.

- Access, Safety and Security (20%)
- Assists in performing various life safety functions.
- Makes sure that all visitors sign in and out of the office and that all visitors have an escort to their location within the office. Keeps a record of borrowed access cards and ensures their return.
- Views the security monitors throughout the day to check activity in interview and conference rooms.
- Maintains awareness of the security conditions in the area at all times. This includes situation assessment, recognition of the early signs of potential aggression and initiation of steps to mitigate a potential violent situation.
- Initiates appropriate countermeasures in incidences of workplace violence.
- Serves as a point of contact for Police, Fire and Rescue personnel arriving to the office.
- Performs daily and monthly AED (automatic external defibrillator) checks, while also logging those checks. Maintains First Aid kits.
- Responsible for creating photo IDs and issuing access cards, maintaining audit key records and conducting Public Address testing, and maintains documentation.

Specialized Knowledge and Skills Requirements
- Ability to manage multiple projects/tasks simultaneously with constant interruptions.
- Working PC knowledge including basic business applications (e.g. Microsoft Word and Excel).
Physical Demands
- This position requires hand and finger dexterity for between 66 and 100% of the time.
- This position requires the ability to reach with hands and arms between 66 and 100% of the time.
- This position requires the ability to talk or listen (hear) between 66 and 100% of the time.
